FINANCE & ADMINISTRATION MANAGER

ORGANISATIONAL ENVIRONMENT
The Queensland Music Festival is a unique state-wide festival and forms a major part of the festival calendar of Queensland. QMF presents new musical works inspired by Queensland’s heritage and in partnership with communities across the state together with tours and concerts of music from all genres. The partnerships provide the platform for exciting commissioning opportunities and innovative programming crossing orthodox musical boundaries.
The Queensland Music Festival is managed under the Board of Trustees by an Executive Director. The program devised under the direction of the Artistic Director.
The Queensland Music Festival’s mission statement is: To produce and promote a biennial festival that achieves both international excellence and accessibility for Queenslanders from all walks of life.

REPORTING RELATIONSHIPS
The position reports to the Executive Director and is line manager for the receptionist in the Festival year.
PURPOSE OF POSITION
To manage and develop all administrative and finance systems of the company ensuring maximum efficiency
LIAISON AND COMMUNICATION
Liaise with the Executive Director, the Artistic Director, the Program Director, the Technical Director, the Development and Marketing Director and appropriate staff members including Technical, Marketing, Development and Administration to support the production of a biennial festival.
Liaise with external bodies including corporate bodies, government organisations and other businesses, on behalf of QMF.
KEY DUTIES OF POSITION
Administration
• To be a helpful and proactive first point of contact with Queensland Music Festival. To ensure the office is a welcoming space for staff and guests.
• To provide effective and efficient administrative support for the company, the board, the Executive Director and Artistic Director.
• To assist in the coordination of papers, documentation and reports for key internal and external meetings including Core Team and Board Meetings.
• Administrative support to the Executive and Artistic Directors, including organisation of diaries, correspondence, travel and accommodation.
• Responsible for the day to day running of the QMF office, including office equipment, maintenance and supplies.
• Ensure the festival maintains appropriate insurances to ensure adequate coverage.
• Maintain the organisations corporate records.
• Maintenance of administrative and financial filing, archival and database systems.
• To manage and monitor effective implementation of the company’s health & safety, and other policies.
• Undertake any other administrative duties as directed by the Executive Director and/or Artistic Director from time to time.
Finance
• Maintenance of all Festival accounts including receivables, payables and salaries through the payroll system.
• Preparation of end of month finance reports including profit and loss, balance sheet and cash flow.
• Payment of monthly taxation and superannuation requirements.
• Maintenance of the organisations asset register.
• Management of the annual audit of the end of year accounts and ensure compliance with various reporting requirements.
• To manage office budgets (eg stationery, refreshments) and office petty cash.
• Assist the Executive Director with preparation of budgets.
• Liase with the company’s accountants.
Operations
• To assist in practical organisation of Festival events, press nights, sponsor servicing etc as required.
• Manage the Receptionist when required, together with volunteers and work experience placements.
• Provide direction and support to project staff where applicable.
• Supervise the management of the Festival volunteers.
• Responsible for being the organisation First Aid Officer.
Communications and Information Technology
• To manage all aspects of the company’s information and communications systems including telephones and IT.
• To manage all incoming and outgoing mail and general email.
• Answering of general telephone inquiries.
Human Resources
• To support the Executive Director in personnel matters, including staff recruitment and training.
• To assist in development and implementation of staff policies.
Other Duties
• Represent the Queensland Music Festival to the highest professional standard.
• Any other duties as required.
SELECTION CRITERIA
• Demonstrate highly developed written and interpersonal communication skills
• Demonstrate exceptional organisational skills and attention to detail
• Experience in management of information technology and office systems
• Demonstrate experience in constructing and managing budgets
• Experience in the administration and financial filing, archival and database systems
• Demonstrated experience in bookkeeping.
• Competent in Microsoft Office and Outlook
• Ability to work independently and contribute within a positive team environment
• Ability and willingness to travel as required.
• Appropriate tertiary qualification or relevant professional experience
• Senior First Aid Certificate
salary
Between $50,000 - $60,000 per annum plus super, dependent on experience.
ADDITIONAL INFORMATION
The employee must be willing to adapt to a flexible working arrangement, in which weekend, evening and public holiday work will be required. A non-smoking policy is effective in Queensland Government buildings, offices and motor vehicles.
